Print your VFS appointment confirmation email. The letter contains a QR code / barcode that is scanned at entry.
Carry your current valid passport. If you have previous passports with old Schengen or foreign visas, bring those along.
The application form must be printed and signed by hand. A physical printout with the barcode is mandatory.
Carry at least 2 recent passport-size photographs (35×45mm, white background, matte finish).
Arrange documents in a clear plastic file in submission order. Carry originals plus one photocopy set of each.
Carry debit card, credit card, or sufficient cash (INR) to pay the visa processing fee. UPI is accepted at most centres.
💡 The VFS centre does not have a cloakroom or storage facility for prohibited items. Plan accordingly — leave them in your vehicle or with a companion waiting outside.
Visit the official VFS Global Poland portal and register with a valid email address. Create your applicant profile with personal details.
Complete the Schengen visa application form online with accurate details. Double-check all entries. Download and print the form with the generated barcode. The form must show "FINAL" status.
Schedule your visa appointment through the VFS Global website at any centre of your choice across India. Book at least 2–3 working weeks in advance during peak season.
Collect all required documents as per the checklist. Arrange in this order: Application form → Cover letter → Passport → Photos → Flight tickets → Hotel booking → Travel insurance → Bank statement → ITR → Salary slips → NOC.
Arrive at the VFS Global centre 15 minutes before your scheduled time. Carry your appointment confirmation, original passport, and all documents. Biometric enrollment is mandatory for applicants aged 12 and above.
Use the reference number from your acknowledgement receipt to track your application status on the VFS Global website. You will receive SMS and email notifications at each stage.
Collect your passport from the VFS centre or via courier. Verify the visa sticker immediately: check your name, passport number, validity dates, number of entries, and permitted territory.
On arrival, all applicants pass through a mandatory security screening. Only visa applicants are allowed inside. Keep all electronic devices outside.
After security, you receive a token number corresponding to your appointment slot. You will be called by your token number to proceed to the submission counter.
The VFS staff review your complete document set. They check for completeness, not accuracy (that is the Embassy's role). If documents are missing, you may reschedule or submit incomplete by signing an acknowledgement.
All applicants aged 12 and above must provide biometric data — all ten fingerprints and a live photograph. This takes approximately 5–10 minutes.
Visa processing fees are collected in Indian Rupees (INR) at the exchange rate set by Polish authorities. Accepted: debit card, credit card, UPI, and cash.
After successful submission, you receive a reference number / acknowledgement slip. You choose how to receive your passport back — in-person collection from VFS, or via courier to your registered address.
Most applicants complete the entire process in 60 to 120 minutes. Morning slots (9 AM – 11 AM) tend to be busier. Afternoon slots (2 PM onwards) are generally quicker.
A non-refundable VFS service fee applies in addition to the visa fee. This is paid online when booking your appointment. The INR amount fluctuates with the exchange rate set by Polish authorities.

Morning slots fill first — book as early as possible if you prefer a morning appointment. Late afternoon slots tend to have the most availability.
Not all slots are available daily — VFS releases slots based on centre capacity. Smaller cities sometimes have last-minute openings even during peak season.
Total time at the centre: Plan for 60–120 minutes. You arrive within your 30-minute slot window — allow extra time for security queuing during busy morning hours.
Every Poland visa officer evaluates your application through a single lens: "Is this person likely to return to India, or are they a risk of overstaying?"
Your application must proactively answer this by demonstrating three things: financial stability (you can fund the trip without needing to work), employment or business ties (you have a reason to come back), and family or personal roots (property, dependents, long-term commitments in India).
Having a criminal record does not automatically disqualify you. Each case is assessed individually based on severity and recency.
Planning a trip to Poland? Whether you want to explore the historic old towns of Warsaw and Krakow, walk the Tatra mountain trails, or visit the Baltic coast at Gdansk, Indian citizens require a Poland Tourist Visa — officially known as a Schengen Type C Visa — before departure.
A Schengen Type C visa is a short-stay travel authorisation that allows you to visit any of the 29 Schengen Area member countries for up to 90 days within a 180-day period. With Poland's full integration into the Schengen Area, a Poland visa grants seamless access to the entire zone.
Processing typically takes 15 working days after submission. It is strongly recommended to apply at least 3–4 working weeks before your travel date, especially during peak travel seasons from March to July and September to December.
The official visa fee is €90 for adults and €45 for children aged 6 to 12 years. Children under 6 travel free of visa fee. An additional VFS service fee is charged separately and must be paid online. All EUR amounts are converted to INR at the exchange rate set daily by the Polish authorities. Fees are non-refundable regardless of the visa outcome.
